AI automation agency: n8n, Zapier, Make and custom workflows

Stop copying the same information between inboxes, spreadsheets and business systems. We build workflows with n8n, Zapier, Make and custom code, and add AI where it reads, sorts or drafts the work.

Workflow automation services that start with the process

Most automation projects fail on the parts nobody wrote down: the order that arrives without a PO number, the approver who is on vacation, the customer who exists twice in the CRM. We map the process with the people who run it, including the exceptions, before choosing a tool.

Then we decide what to automate. Some steps disappear once the data is entered correctly at the start. Some need a rule, some need AI and some should stay with a person. The result is a smaller, more reliable workflow than a literal copy of the manual process.

n8n automation for volume, custom logic and self-hosting

n8n works well when a workflow moves a lot of records, needs code steps or has to stay inside your own infrastructure. As an n8n automation agency we design the workflows, set up credentials and environments, and add error workflows that alert an owner when something fails.

We work on your instance, self-hosted in your cloud account or on n8n Cloud under your subscription, so the workflows and data stay under your control.

Zapier consulting and automation with Make

Automations built with Zapier suit teams that want to maintain simple workflows themselves: a new form entry creates a CRM record, a paid invoice updates a spreadsheet, a message goes to the right channel. Our Zapier consulting covers cleaning up existing Zaps, adding filters and paths, and documenting who owns each one.

Workflows built in Make handle more complex branching, iterations and data transformations, often at a lower cost per operation. When a workflow outgrows either platform, we move the heavy step into a small custom service and keep the rest where your team can see it.

AI automation services for reading, sorting and drafting

Many manual tasks are reading tasks: an email that needs to be classified, a PDF invoice whose fields need extracting, a support request that needs a first draft. AI steps built on OpenAI and Claude models handle these well when the task is narrow and the output is checked.

We define the fields the AI step must return, test it against real examples from your business and set a confidence threshold. Low-confidence results go to a person, and every AI step is logged with its input and output so you can review what it did.

RPA development services for systems without an API

Some systems only have a screen: an old desktop application, a supplier portal or a government website. RPA bots log in, read and enter data the way a person would. We use them where there is no better option, with monitoring for screen changes and a plan to replace the bot when an API becomes available.

Airtable consultant work: bases, interfaces and automations

Airtable is often where a team’s operational data lives before a proper system exists. As Airtable consultants we restructure bases, build interfaces for each role, add automations and connect Airtable to the rest of your stack. When a base outgrows Airtable, we plan the move to a custom application without losing the data or the workflows around it.

Patterns from our own agent projects

We run agent workflows for our own lead research, outreach and content operations. They taught us the same lessons client automations need: every run is logged, every failure reaches a person, and AI output is checked before it reaches a customer. Automated data flows also run inside the systems we build for clients. The wine and spirits distributor’s ordering apps exchange data with the distributor’s ERP, warehouse and delivery systems, and the Ball and Buck store keeps products and inventory in sync with the company’s internal system.

Built around the people who use it

Operations and finance teams

Teams that re-enter orders, invoices, requests or reports by hand and need the work to move without chasing it.

Owners of growing tool stacks

Companies whose CRM, accounting, e-commerce and support tools each hold part of the picture, connected by manual exports and fragile one-off automations.

The parts needed for a working application

Process mapping

The current steps, systems, owners and exceptions, and a decision on which parts to automate, which to simplify and which to leave with a person.

Workflow build

Triggers, data mapping, branching, approvals and writes to your systems, built in the tool that fits the job and the budget.

AI steps with limits

Classification, extraction and drafting with models built for the task, clear confidence rules and human review where a mistake would be costly.

Monitoring and handover

Failure alerts, retries, run history, a named owner for each workflow and documentation your team can maintain.

Small milestones and visible progress

Automate one complete process

Pick a process that repeats every week, trace it end to end with the people who run it and agree what a correct result looks like.

Build, run in parallel, switch over

Senior engineers use AI-assisted delivery to target the first working release in 14 days. The workflow runs alongside the manual process until the results match, then we switch over and add the next process.

Pricing: Fixed price per milestone, no hourly billing. About a third of a traditional team's quote for the same scope. Platform subscriptions, task or operation volumes and AI model usage are estimated separately, so you can see the running cost before we build.

Questions people ask before starting

Should we use n8n, Zapier or Make?

It depends on who will maintain the workflow, how much data it moves and where it must run. Zapier suits simple workflows that business users maintain themselves. Make handles more complex visual branching. n8n suits high volumes, custom code steps and teams that need to self-host. We recommend one after mapping the process, and sometimes the answer is a small custom service instead.

What does AI automation consulting include?

We review the processes you want to automate, estimate the manual effort and running costs, identify where AI adds value and where plain rules are enough, and propose the first workflow with its acceptance criteria. You can use the assessment on its own or continue into the build.

Can AI make decisions in our workflows?

AI can classify, extract and draft reliably when the task and data are well defined. We set confidence thresholds, keep an audit trail and route payments, customer commitments and other costly decisions to a person for approval.

Can you fix automations we already have?

Yes. We review existing Zaps, scenarios and workflows, find the ones that fail silently or duplicate work, and either stabilize them or rebuild them with error handling and a clear owner.

Where does n8n run?

On your own instance: self-hosted in your cloud account or on n8n Cloud under your subscription. You keep ownership of the instance, credentials and workflow data.

What happens when a connected system changes or goes down?

Each workflow has retries, failure alerts and a documented recovery step. When a connected tool changes its API or data format, the owner is notified and the affected runs can be replayed after the fix.
